Privacy Policy

In order to provide educational and coaching services The Mind Practice may request certain information from our customers. This can include contact, payment and selected personal information to assist us in providing coaching support. We will treat you and any information we hold on you with respect and confidentiality. We will not share you information with others unless we request and you agree to our doing so. By consenting to, and agreeing the terms of, the Privacy Policy, you also expressly consent and agree to us processing your data in the manner set out in the Privacy Policy. This Privacy Policy describes the information we collect and how we use that information.

Client contact details (name, email address, telephone number) will not be shared with any third party other than the International Coaching Federation (ICF) as an essential requirement of the Coach’s ongoing credentialing with that organisation. The ICF may use this information to confirm that Sarah has completed coaching hours as part of her Continuing Professional Development (CPD) and certification. The contact details will not be used for any other reason.

The Mind Practice takes the privacy of your personal information very seriously and will use your information only in accordance with the terms of this Privacy Policy. We will not sell or rent your personally identifiable information or a list of our customers to third parties. However, in order to help our coaching clients we will with permission share some of your information with other support professionals, GPs and Psychiatrists under strict restrictions. It is important for you to review this Privacy Policy. This Privacy Policy applies to all services that are hosted on the The Mind Practice website.

By accepting the Privacy Policy and User Agreement in registration, you expressly consent to our use and disclosure of your personal information and direct us to do so in the manner described in this Privacy Policy. If you disagree with the terms of Privacy Policy, please do not register for nor use the The Mind Practice services. Notification of Changes

This policy may be revised over time as new services are added by The Mind Practice or as we incorporate suggestions from our customers. We may amend this Privacy Policy at any time by posting a revised version on our web site. The revised version will be effective at the time we post it. In addition, if we propose to change this Privacy Policy in a substantial manner, we will provide you with at least 30 days’ prior notice of such a change by posting notice on the “Home” page of our website. After this 30 days notice, you will be considered as having expressly consented to all amendments to the Privacy Policy.

Your information

We will usually request contact information, email address and phone number if you are interested in receiving further information on coaching services.

Because of the way that World Wide Web communication standards work, when you arrive at or leave The Mind Practice website, we automatically receive the web address of the site that you came from or are going to. We also collect information on which pages of our website you visit while you are on The Mind Practice site, IP addresses, the type of browser you use and the times you access our website. We use this information to try to understand our customers’ preferences better to improve our service and your experience with The Mind Practice. “Cookies” are small files of data that reside on your computer and allow companies to recognise you as a customer if you return to the same computer and browser. We have a opt-in consent policy for cookies on our site.

Data retention

If you send us correspondence, including emails, we retain such information in the records of your account. We will also retain customer service correspondence and other correspondence from The Mind Practice to you. We retain these records in order to keep records of our relationship, to measure and improve our customer service, and to investigate potential fraud and violations of our User Agreement. We may, over time, delete these records if permitted by law.

From time to time, we offer optional questionnaires and surveys to our users for such purposes as collecting demographic information or assessing users; interests and needs. The use of the information collected will be explained in detail in the survey itself. If we collect personally identifiable information from our users in these questionnaires and surveys, the users will be given notice of how the information will be used prior to their participation in the survey or questionnaire.

Our Use and Disclosure of Information

We collect, store and process your personal information on servers located in the UK. Our primary purpose in collecting personal information is to provide you with a safe, smooth, efficient, and customised experience.

Coaching clients are asked for fill out a Client Questionnaire which requests full contact details, brief work and medical information. This data is to ensure we can contact you and for guidance for the coach, it will NOT be shared with any other organisations and is confidential between the client and The Mind Practice. This is sent over a secure HTTP/SSL link. If you are not comfortable providing this information then you need not provide it. You agree that we may use your personal information to:

  • provide the services and customer support you request
  • resolve disputes, collect fees, and troubleshoot problems
  • customise, measure, and improve our services
  • tell you about special events and offers based on your preferences

Your confidential information is secured and encrypted, protected by firewall, antivirus and anti-malware software. You may ask to see the data we hold on you at any time and we are always happy to correct any inaccuracies in the information held. We do not store any of your financial details.

Accessing and Changing Your Information

You can review the personal information you provided us and make any desired changes to such information, or to the settings for your Mind Practice account, at any time by requesting it via email to sarah@themindpractice.com. You can also close your account by emailing us. If you close your account, we will mark your account in our database as “Closed,” we will keep your account information in our database. but your personally identifiable information will not be used by us for any further purposes, nor sold or shared with third parties, except as necessary to prevent fraud and assist law enforcement, or as required by law.
